Job docket and invoicing software for trade businesses
Core Docket is for trade businesses whose crew go out and do the work while the office invoices the customer. The crew fill in your own docket on their phone, your rate card prices the work, and the signed docket becomes a draft invoice for your accounting suite. It suits one person on their own or a crew of any size, with no limit on how many.
Free for a month, no credit card. Every feature included: no tiers, no add-ons, free updates.
Who Core Docket is for
If your work starts with a booking, happens on someone else's site and ends with an invoice, Core Docket fits. That covers trades that price by the hour, by the item or by the measurement, and businesses that charge a mix of all three on one job. The crew record what they did and how much of it. The office checks it and gets the invoice out within minutes.
It started with concrete cutting, where pricing is as involved as it gets: saw cuts per metre by depth, core holes by diameter and depth, loadings for inverted work, set-up fees, section minimums and after-hours minimums. A rate card that handles that handles simpler pricing too. The same product runs core drilling, wall and track sawing and concrete demolition, and any trade business that works the same way: the crew on the road, the office on the invoices.
Core Docket hands the office administrator a prepared invoice for every signed docket, so there is nothing to retype. Their time goes on checking the right job, querying a price and chasing what is owed.
The crew's docket, on their phone
We rebuild the paper docket or job sheet you already use, so the crew see the same questions in the same order.
Your own docket, rebuilt
Send us a photo of your docket and we rebuild it: job details, the work done, safety questions, photos, your terms and a signature box. A business can have more than one docket, for example a separate waste docket.
Work picked, never priced
The crew pick the work from your own price list and enter how much: the hours, the metres, the number of items. They never look up a rate or write a price.
Signed on site
The customer signs on the phone and photos attach to the docket. A safety question can stop the docket on the wrong answer, so the crew call the site manager before they start.
A rate card that prices however you charge
Your price list is loaded into the rate card, set up with the way each kind of work is measured.
- By the hour, with labour multiplied by the number of people, so three people for eight hours bill as 24 hours.
- By the item, the load or the day: a bin, a truck load, a pump hire day, a part.
- By the measurement: per metre, per square metre, per hole, per 10mm of depth, by size or diameter.
- An option can be priced as another option plus a percentage, so a loading moves with the base rate when you change it.
- Minimum charges per visit, callout fees, levies and surcharges, as a dollar amount or a percentage, on every docket or only some.
- Set-up fees and section minimums, added once per docket when that kind of work is used.
- After-hours and weekend minimums, worked out from the job's actual start and finish times, so the crew never choose the rate.
- Different prices for different customers, through price groups and single overrides. See how the rate card is set up.
From the signed docket to your accounting suite
- 01
The customer gets their copy
When the docket is finished, a PDF on your letterhead is emailed to the customer. You choose field by field what they see, and office-only notes stay off their copy.
- 02
A draft invoice is waiting
The docket's priced lines become a draft invoice. You check it, change anything that needs it and send it. A line with no price yet is flagged before it goes out.
- 03
Into your books
The invoice goes to your accounting suite with your account and GST codes, and a month of dockets for one customer can go on a single invoice. See which accounting suites connect today. If you use other accounting software, Core Docket builds the connection where it's possible.
Everything around the job, included
These come with Core Docket at no extra cost.
Schedule board and timesheets
The schedule board lays out the week by person, with double bookings flagged and jobs shown on a map. Timesheets record each day's start and stop, the office approves the week, and approved weeks export as a payroll file your bookkeeper imports.
Safety on the phone
SWMS sign-on, Take 5 and toolbox talks are recorded on the crew's phones, with every record in one list. Your own SWMS can be uploaded as a PDF or Word file for the crew to read and sign.
Pre-starts and assets
An asset register for your plant, vehicles and tools, with daily and weekly pre-starts on the phone. A failed item raises a fault with its photo, so the office sees it.
Equipment on hire
Equipment left at a customer's site, such as a skip bin, an IBC or a generator, goes out on a drop-off docket the customer signs and comes back on a collection docket. The hire is charged at collection by the day, week or month. See equipment hire and assets.
One plan, every feature
There are no tiers and no add-ons. Every feature is included, and updates are free.
